Compliance, E-mail Capturing Big Themes at AIIM Expo

BOSTON -- A multitude of content management companies, the big fish and the guppies alike, made announcements today at the AIIM Expo here.

ColumbiaSoft, a provider of document management solutions for small to medium size businesses, rolled out some upgrades that bolster the already robust offerings from this 30-person company based in Portland, Ore.

The company's Document Locator Version 5.0 offers integrated document imaging, electronic versioning, e-mail capture and archiving, records management, and automated workflow. Document Locator Version 5.0 enables any size organization to comply with legal and regulatory requirements, automate business processes, and compete more effectively by reducing the cost of doing business.

Carl Azar, a ColumbiaSoft vice president, says his company offers huge advantages for smaller and mid-sized companies, compared to the more-expensive offerings by the behemoths in the ECM space.

"Legacy ECM vendors don't scale down to an effective solution," Azar said.

ColumbiaSoft says it's the right size for small to mid-size companies, particularly because regulatory requirements like the recent changes in the Federal Rules of Civil Procedures continue to impact firms of all sizes. Azar said that changes later this year in Sarbanes-Oxley rules will also impact smaller companies.

At the heavyweight end of the ECM scale, EMC announced the availability of two key ECM solutions which seek to provide seamless integration between EMC Documentum software and Microsoft Office SharePoint Server 2007. With these new products, EMC Documentum augments SharePoint Server 2007 by providing a single source for integrated ECM capabilities that enable archiving, records management, business process management, imaging, and classification.

EMC Documentum Content Services for SharePoint is a set of ASP .Net Web Parts allowing access to the Documentum Content Server through the MOSS 2007 interface. Content Server for SharePoint exposes key Documentum functionality in the SharePoint Server 2007 interface, including the ability to:

  • Search for content across the Documentum repository, and monitor and subscribe to critical documents.

  • Get direct access to the Documentum Inbox, QuickFlows and the Business Process Management System

  • Manage document lifecycles, and support virtual documents.
  • E-mail management is another big theme at the AIIM Expo. Digitech Systems announced new capabilities for PaperVision Message Manager that brings sophisticated email management to businesses of all sizes.

    PaperVision Message Manager, Digitech’s enterprise-wide e-mail management product, has been upgraded to give customers the ability to poll mailboxes on POP3 or IMAP-compliant mail servers such as Gmail or Yahoo Mail, in addition to Microsoft Exchange and Outlook.

    Other Digitech benefits include:

  • Filter messages based on user-defined policies, allowing relevant messages to be grouped together into projects and available through simple keyword search.

  • Capture real-time messages and scan storage locations of existing email messages to organize all messages into a single onsite or on-demand information management system.

  • Enable full compliance with Sarbanes Oxley and other government regulations by capturing and preserving messages in the system and providing non-repudiation by verifying message integrity.
